Q: Does Acumen identify the file by looking at
the extension of the file?
A: No. Acumen uses the industry-leading Content Management tool
SearchML from Stellent to id the file and extract all metadata.
This way if any file extension was renamed, Acumen can still identify
the file. For example if a MS Word file was renamed from ‘smokinggun.doc”
to “smokinggun.xxx”, then Acumen would keep the file
name the same but id this file by its metadata. Consequently, Acumen
would treat this file as an MS Word file when directed to display
in the universal viewer or in the file's native application.
Q: How fast does Acumen's import
perform?
A: Acumen can process 1 gigabyte of data in approximately 1.5 hrs.
This rate includes comprehensive metadata extraction, generating
an XML document for each file, and full text indexing for search.
This rate may vary based on the data characteristics (number of
compound files, number of files that error on import, etc), searching
needs, and user-selected filtering options.
Q: Does the client or user need to have all applications installed
on their pc or server to view any files?
A: No, this is a major cost benefit of Acumen. Since Acumen uses
Stellent's universal viewer, there is no need to have the application
installed on your pc or server. For example if you have a Word Perfect
document whose version is not supported by MS Word 2003 –
2007, no problem! You can view the native file in the Acumen view
pane. Autocad, Corel and other drawing file formats are viewable
with Acumen as well. Acumen a can 1) ID , 2) extract text and metadata,
3) view, and 4) create an image for over 400 file types and decades
of versions resulting in thousands of files you can process and

Q: Does Acumen require a database
administrator since it is SQL server based?
A: No. Acumen's architecture is simple, and the application is
tuned to perform for any size-- from a few hundred files up to millions
of files. There is no need for a DBA to create databases, Acumen
will create them for you using the Case Creation Wizard.
Indexing is performed system, so there is no need to decide what
or when to index. We also offer a utility that will back up all
your databases, no special SQL server expertise is required.
Q: How does Acumen do full text searching?
A: Acumen uses DTSearch to index documents for full text searching.
DTSearch syntax can be used with Acumen so your expertise in the
industry standard document search tool can be leveraged with Acumen.
Searching for metadata and other attributes about the collection
is done using the database search.
Q: Is Acumen able to process compressed
formats like zip, rar files, or UNIX archive files?
A: Yes, absolutely. Acumen's import module will unzip all compressed
files and inventory the contents. Acumen supports a very comprehensive
set of compressed formats including pst, nsf, zip, zip sfx, split
zip, rar, rar sfx, jar, jar sfx, cab, UNIX tar, z, and gzip.
Q: How does Acumen deduplicate collections?
A: Acumen can dedupe on exact MD5, or Family MD5 (for email with
msg and attachments). SHA-1 is also a choice for dedupe. The user
may also select metadata fields to dedupe with like email store,
TO, CC, FROM, etc. Acumen will identify the duplicate with a unique
“show all duplicates” that toggles on or off so the
user can elect whether or not to see the duplicates at anytime from
processing to production. And tags or redactions to the ‘master’
are auto-applied to all duplicates.
Q: How does Acumen handle redactions for Native productions?
A: Yes. Acumen will provide the redacted image file in place of
native, and OCR the image to provide redacted text as the txt file.
Q: Does Acumen extract CONVERSATION index from the metadata for
email?
A: Yes. Acumen pulls all metadata relevant to email. For example
we pull the message id and conversation index from MS Outlook PST
files. This may be important for some third party tools that analyze
email strings like “Blue trace” software.
Q: How does Acumen show reports for import processing, so user
can analyze errors and duplicates?
A: Acumen will provide exception and summary reports showing exactly
how many documents were processed, showing size and summary of files
from archive containers. Exception reports show errors, duplicates,
system files etc. Acumen can also reprocess errors, allowing the
the user to ‘fix’ any errors, such as un-protect password
protected docs, correct corrupted files etc.
Q: Does Acumen provide an audit
trail for every document so the document may be tracked thru the
processing, review and production process?
A: Yes. Acumen provides an audit trail that marks every action
performed on the document. This includes set assignments, who reviewed,
tags, production dates, etc so the life of the document in Acumen
is fully recorded.
